Creating a filter for one cPanel mailbox

A mailbox filter applies to a selected email account. It can route identifiable incoming messages into a folder or perform another supported action without applying the rule to every mailbox in the hosting account.

Check access and requirements

Confirm the complete recipient address and decide what should happen to matching mail. Create a destination folder first if your chosen delivery action requires one. Keep one positive test message and one message that should not match.

01 Create a filter for one cPanel mailbox

  1. Open Email Filters in cPanel and choose Manage Filters beside the correct full email address.
  2. Select Create a New Filter, enter a meaningful name, and choose the field, comparison operator and matching text.
  3. Choose the intended action. Review whether the action delivers, redirects, discards or stops processing; these outcomes are not interchangeable.
  4. Keep conditions narrow. If using several conditions, confirm whether they must all match or whether any one is sufficient. Save the filter.
  5. Use the mailbox’s Filter Test and read the trace for both test messages. If needed, reorder the filter in the current list so earlier rules do not intercept the message first.

02 Example: organize invoice notices for one mailbox

For illustration, suppose [email protected] receives notices whose subjects begin with [Invoice notice], and the mailbox has an existing Invoices folder. Create the rule inside that mailbox's Manage Filters screen, match the agreed subject marker and choose the supported action that delivers to the intended folder.

  1. Test a notice containing the complete marker and confirm the trace selects the intended action.
  2. Test an ordinary customer message without the marker and confirm it is not redirected into the invoice folder.
  3. Send fresh external tests and check both webmail and the subscribed folder in the mail client.

Use the actual folder path or destination presented for your mailbox. A matching subject helps organize messages; it does not establish that an invoice is genuine or approved for payment.

Confirm the expected result

Send a fresh message from an external account and inspect the intended folder or destination. Confirm the folder is subscribed or visible in the mail client as well as webmail.

Why does my mailbox filter match everything or nothing?

If all mail appears affected, check the operator and OR conditions. If no mail matches, examine the actual headers rather than the display name alone. Global filters run at a wider scope and may still affect this mailbox, so include them when investigating unexpected delivery.
