Evaluate online document tools with the files and collaboration tasks your team actually uses. Google Workspace, eligible Zoho Workplace plans and eligible OX App Suite plans provide different application sets and should be checked against the ordered edition.

01 Run a useful compatibility pilot
- Collect a small authorised sample of everyday documents, complex spreadsheets and presentation files. Remove confidential data where a test copy will be shared more widely.
- List the features that must work, such as comments, tracked changes, formulas, charts, fonts, page layout or export to a customer's required format.
- Open copies in the proposed online editor. Distinguish editing the original file format from converting it to the provider's native format.
- Test simultaneous editing, permissions and review workflows with two named users. Check whether an external collaborator can access only the intended file.
- Export the result and reopen it in the destination application. Verify calculations and layout instead of assuming visual similarity proves full compatibility.
- Check version history and a recovery operation on the test file. Confirm how the business retains a final approved version.
- Document exceptions and choose a supported workflow for files that need a specialist desktop application or feature.
02 Example: test a shared document before moving the team’s workflow
Choose a representative file rather than testing only a blank document. A business spreadsheet with formulas, a presentation with fonts and a document with tracked changes can each reveal a different compatibility issue.
Open a copy in the proposed collaboration tool. Check formatting, calculations, comments, permissions and the exported result. Keep the original file unchanged until your team agrees that the working copy meets its needs.
How should I choose between Google Workspace, Zoho and OX?
Start with your required email, storage and collaboration workflow, then compare the features actually included in the plans we offer. Product families and licence tiers are not interchangeable. A familiar file extension does not guarantee every advanced feature behaves identically across tools.
Test sharing with an external recipient where that is part of your work, using non-sensitive material. Confirm whether the recipient needs an account and whether they can edit or only view. Contact our sales team with the number of users and essential workflows so we can help you choose a suitable service without promising a feature that is not included in the selected plan.
Common questions
Will every spreadsheet macro work online?
Do not assume so. Automation languages and supported features differ. Test the actual workbook and plan any required redevelopment separately.
Does an email-only plan include online office editors?
Check the edition. Mailbox access and a full collaboration suite are different entitlements.
Should we convert all files immediately?
Pilot first and preserve originals. Convert when the team understands the benefits, limitations and downstream compatibility requirements.
