Ask about the location and handling of the specific data your business will store before selecting a service. A provider's office address, website domain or list of datacentres does not establish where every part of your account's data is processed.
01 Prepare a precise service enquiry
- List the data types involved, such as mail, files, backups, logs and support attachments. Record the business requirement driving the location question.
- Identify the exact product, edition, account region and purchase route. Ask whether a location choice is available for that subscription.
- Separate storage location from processing, disaster-recovery copies and support access. Ask which data and services are covered by any stated commitment.
- For Google Workspace, review the supported edition and covered-data scope of data-region policies. Do not assume that assigning a policy covers users with an unsupported edition.
- For Zoho, confirm the organisation's actual datacentre and account region. Its signup-country mapping is useful context, but the existing account should be verified directly.
- Request the relevant current contractual or provider documentation. Have the business's responsible adviser assess whether it meets any applicable obligations.
- Record the confirmed scope and review it before enabling another application, changing editions or moving the account.
Common questions
Does a nearby server guarantee faster collaboration?
No. Network routes, users' locations and the application all affect performance. Treat residency and performance as separate requirements.
Does a datacentre certification prove my whole business is compliant?
No. The certification has a defined scope. Your account configuration, use and organisational obligations still require assessment.
Can support promise a location for every product?
Only the service's actual documented commitments can support that promise. Ask for product-specific confirmation rather than applying one service's answer to all subscriptions.
