Configure WHMCS invoice reminders without duplicate notices

whmcs, resellers

Payment reminders should tell customers what is due, when payment is needed and whether automatic collection is expected. Configure reminders alongside invoice generation, capture and suspension timing so the messages describe the actual service policy.

01 Set reminder timing

  1. Open Automation Settings and the Billing Settings section.
  2. Enable Payment Reminder Emails if you want a notice before an unpaid invoice becomes due.
  3. Set Invoice Unpaid Reminder to the intended number of days before the due date. The documented zero value disables that notice.
  4. Configure First, Second and Third Overdue Reminder as the intended days after the due date. Each overdue notice is controlled separately.
  5. Save the settings and review the matching email templates before the next scheduled run.
  6. Confirm that the cron and outgoing mail provider are working, then inspect a controlled reminder result.

02 Write a useful reminder

Include the invoice reference, outstanding balance, due date and authenticated payment link. Explain the next relevant action without exposing payment details. If the account has a valid automatic payment arrangement, avoid wording that encourages an unnecessary second manual payment.

State suspension or termination consequences only when they match the approved policy and the service's actual automation settings. A reminder should not threaten a deadline that the system does not enforce.

03 Example: check the reminder dates before enabling a schedule

Assume an unpaid invoice is due on 20 October. The following values illustrate how the timing fields work; they do not set our reminder or suspension policy.

Setting Example value Scheduled notice date
Payment Reminder Emails Enabled Allows the pre-due reminder below.
Invoice Unpaid Reminder 7 13 October, seven days before the due date.
First Overdue Reminder 3 23 October, three days after the due date.
Second and Third Overdue Reminder 0 for each Both of these notices are disabled.

Check the normal automation run and message log on the relevant date. Turning off Payment Reminder Emails would stop the pre-due notice in this example, but the separately configured first overdue reminder would remain enabled. A payment that has already settled the invoice should be reconciled before any manual resend.

What should I check when an invoice reminder is missing or inappropriate?

Before manually resending a notice, confirm that the invoice is still unpaid and that a bank transfer or gateway callback is not awaiting reconciliation. Check the message log and provider delivery result when a customer reports not receiving a reminder.

Turning off the pre-due reminder does not automatically disable overdue reminders. Review all timing fields when pausing or revising the communication policy.

04 Monitor the first run

Sample the selected invoices, dates and rendered email content. Check timezone assumptions and customer contact preferences. Keep an internal record of the reminder schedule so support and billing teams can explain why a particular message was sent.
