Customise WooCommerce's transactional emails so order, account and customer notifications are recognisable and useful. Keep essential order information intact and test actual received messages, because an editor preview does not reproduce every email client.

01 Review the email types
Open WooCommerce > Settings > Emails and identify customer notifications and internal store alerts. Check which are enabled and who receives administrative messages. Do not disable an important order event simply because its default styling needs improvement.
02 Configure sender and content
- Set an appropriate sender name and an address on a domain authorised for your mail service.
- Review the global design controls supported by the installed WooCommerce version.
- Open each important email type and edit its subject, heading and available additional content carefully.
- Retain placeholders and order-specific fields that customers need.
- Use the available desktop/mobile preview and send a test message to an approved test mailbox.
- Complete a sandbox order to verify the real event-driven email, including links and dynamic values.
Should I edit WooCommerce plugin template files directly?
No. Direct edits can be overwritten by updates. Use the supported email settings or an appropriate maintained customisation method. Theme template overrides require version maintenance, and newer block-email features can have a separate experimental or feature-enabled workflow. Do not assume every installation has the same editor.
Can the email contain a working video player?
Email clients generally do not support the website's interactive player experience. Use a clear linked thumbnail or text link where the email editor supports it, and ensure the destination is public and appropriate for the customer. Keep the core order information understandable even when remote images are blocked.
03 Test delivery and accessibility
Check mobile readability, image alternatives, contrast and meaningful link text. Verify that order totals, download links and customer details render correctly in the actual mailbox. Sender-domain authentication and mail-service configuration affect deliverability separately from visual design.
04 Maintain customisations
After WooCommerce updates, review any template-update notices and test the important emails again. Keep a record of custom subjects and templates so another editor can distinguish intentional branding from an outdated override. Avoid adding promotional claims that distract from the transaction or make a password-reset message look suspicious.
