Checking which messages an email archive actually captures

email, security-ssl

Verify what SpamExperts archiving captures before relying on it for business record retention. Incoming filtering, outgoing filtering and archiving are separate service capabilities, and not every mail route necessarily passes through all three.

01 Build a coverage test

  1. Confirm the ordered archive service, enabled domains, mailbox scope and retention arrangement.
  2. Document incoming, outgoing and internal message paths.
  3. Send a labelled test from outside to inside, inside to outside and between internal users.
  4. Search the relevant archive direction for each test and record whether the full message is retained.
  5. Correct missing routing or journaling coverage through the supported provider process, then repeat the missing test.

02 Include historical needs

Messages sent before activation are not automatically created in the archive. If historical import is needed, define the domains, source format, date range and authorised data owner before requesting a supported import. Preserve an independent source export until the imported sample is checked.

03 Example: prove all three mail directions

Use three harmless messages with distinct subjects: Archive check IN-01 from an external test account to Ada, Archive check OUT-01 from Ada to that external account, and Archive check INTERNAL-01 from Ada to a colleague. Record the sending time, both addresses and Message-ID for each.

Search the appropriate archive direction after processing and open each retained message. If IN-01 and OUT-01 exist but INTERNAL-01 does not, the test demonstrates a gap in internal capture. Confirm whether that route uses a supported journaling arrangement before describing the archive as covering internal mail. Repeat the missing test after any routing correction, and keep the results with the archive owner's configuration record.

Common questions

Are internal messages captured automatically?

They may stay within the mailbox platform and never cross the filter. The documented solution can require journaling from that platform. Verify the actual setup rather than assuming coverage.

Does an archive replace all backups?

An email archive addresses retained messages within its scope. It does not necessarily restore mailbox configuration, calendars, contacts, website data or an entire collaboration tenant.

What should I review after migration?

Repeat the three-direction tests and check aliases, shared identities and new domains. A changed route can silently alter what is captured.

Keep a dated coverage record with the service owner, configuration and test identifiers. Review it whenever routing or email products change. State the demonstrated coverage in internal policies instead of describing the archive as preserving every business communication without qualification.
